8:025-AP3 Advertising and Donor Recognition
Purpose
This procedure governs the approval, display, and management of advertising and donor recognition on District property and through District-affiliated entities. It supports community partnerships while ensuring all content aligns with the District’s educational mission, fiscal responsibility, and applicable Board policies.
Scope
This procedure applies to all advertising and donor recognition content displayed:
- On District property (e.g., fences, scoreboards, walls, and hallways);
- Via District-owned or District-affiliated digital platforms or displays;
- Through school-connected “affiliate” organizations (e.g., Booster Clubs recognized per 8:090-AP1).
This procedure does not apply to student-created content unless sponsored, funded, or underwritten by an outside entity.
Definitions
- Advertising – Any paid or in-kind message promoting a commercial product, service, or business.
- Recognition – Acknowledgment of financial or material support without promotional content or calls to action.
- District-affiliated entities – Groups such as Booster Clubs authorized to support school programs (per 8:090-AP1).
Content Standards
All advertising and recognition must:

- Be age-appropriate and consistent with the District’s mission and values;
- Not promote tobacco, alcohol, controlled substances, political candidates or parties, religious messages, weapons, or lewd or obscene material;
- Not imply District endorsement or create a commercial relationship beyond the display itself;
- Comply with relevant Board policies, including 7:330 (Student Expression), 8:020 (Community Use), and others as applicable.
- Comply with all applicable local ordinances, including the City of Batavia Zoning Code governing outdoor signage.
Approval and Oversight
- All content and placement must be pre-approved in writing by the Building Principal or designee.
- Considerations for approval include visibility, duration, location, and educational appropriateness.
- Digital displays must be maintained to ensure timely updates and content removal.
- The Superintendent or designee may rescind approval if content conflicts with Board policy or this procedure.
Revenue and Fund Management
- Proceeds from advertisements or recognition coordinated by District-affiliated entities may be retained in full by the organization, provided it exists solely to support District programs and operates under District oversight.
- All proceeds must benefit students, school activities, or facility improvements and comply with District financial procedures.
- The District reserves the right to review agreements, financial records, and fund use for compliance and transparency.

- Permanent facility modifications for advertising or recognition require District-level approval.
- The District may limit the number, type, or placement of displays to protect the integrity of learning environments and appearance of facilities.
- To comply with City of Batavia zoning regulations, all outdoor advertising displays must face inward toward District property and not be visible from adjacent public streets or neighboring properties. This orientation ensures the signage remains exempt from municipal sign code restrictions.
- All agreements must be documented at the school level and made available for District review upon request.
